Position Overview:

Executive Assistant to CEO/Founder & VP of Operations


Position Summary:


They are seeking a highly organized and proactive Executive Assistant to provide top-level administrative support to the CEO/Founder and VP of Operations. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will act as a strategic partner, helping to enhance efficiency and effectiveness across executive operations.


Key Responsibilities:


Executive Support:

● Manage complex calendars, coordinate meetings, and schedule appointments across multiple time zones.

● Handle confidential correspondence, reports, and documents with discretion and professionalism.

● Prepare meeting agendas and distribute follow-up action items.

● Serve as a liaison between executives and internal/external stakeholders.


Operations & Project Management:


● Assist with strategic initiatives, tracking project progress, and deadlines.

● Support cross-functional coordination between departments and spa locations.

● Prepare reports and executive summaries for operational performance and key business activities.

● Manage headquarters office inventory, such as supplies and provisions.

● Assist in organizing company-wide events, leadership meetings, and off-site retreats.


Administrative & Travel Management:


● Arrange and manage travel itineraries, accommodations, and expense reports.

● Handle vendor relationships, office supplies, and administrative functions as needed.

● Support HR-related tasks such as onboarding team members or managing key documentation.


Communication & Relationship Management:

● Draft and edit high-level correspondence, memos, and internal communications.

● Represent the executives professionally in emails, meetings, and public interactions.

● Build and maintain relationships with key stakeholders, vendors, and business partners.


Qualifications:

  • 5+ years of experience as an Executive Assistant, preferably supporting C-level executives.
  • Strong organizational and multitasking skills with impeccable attention to detail.
  • Excellent written and verbal communication skills.
  • High level of professionalism, confidentiality, and discretion.
  • Proficiency in Google Workspace and project management tools, such as Asana.
  • Ability to work independently, anticipate needs, and take initiative.
  • Experience in a fast-paced, growing business environment is preferred.
